Move 2 Thrive Clinic is committed to protecting your privacy and handling your personal information with care and integrity. We comply with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and all relevant healthcare privacy legislation.

This policy explains how we collect, use, disclose, and safeguard your personal information, and also outlines our cancellation and refund terms for appointments.


1. Collecting Information

We may collect personal information when you:

  • Contact us via phone, email, or our website

  • Attend our clinic, mobile, or telehealth appointments

  • Submit a referral or intake form

This may include your name, contact details, date of birth, medical history, and funding information (e.g., Medicare, NDIS, DVA, or insurer details).

Sensitive health information is handled with strict confidentiality and only used with your consent, unless required by law.

If you choose not to provide requested information, we will explain any potential impact on the services we can provide.


2. Practice Management System (PMS)

We use Splose, a secure, Australian-compliant practice management system, to store and manage client records. This system protects your data through encrypted storage, role-based access, and compliance with Australian privacy regulations.

All information entered into Splose (including clinical notes, referrals, and billing details) is accessible only to authorised Move 2 Thrive Clinic staff.


3. AI Usage

To improve efficiency, communication, and educational resources, Move 2 Thrive Clinic may use artificial intelligence (AI) tools in non-clinical contexts (e.g., drafting educational material, optimising website information).

  • AI is not used to replace clinical decision-making.

  • Your personal health records are never shared with AI systems.

  • Where AI tools assist with administrative processes (e.g., intake form automation), data is de-identified or handled under strict security measures.

We remain committed to ensuring your care is always led by qualified health professionals.


4. Using & Disclosing Information

We use your information only for purposes directly related to your care, including:

  • Delivering allied health services (Exercise Physiology, Physiotherapy, Dietetics)

  • Communicating with your GP, specialists, or insurers (with consent)

  • Managing appointments, billing, and funding claims

We will not disclose your information without consent, unless required by law.


5. Data Security & Access

  • Records are securely stored in Splose.

  • Only authorised staff may access your information.

  • Records are destroyed securely when no longer required.

You have the right to request access to your personal information.


6. Marketing & Opt-Out

You may occasionally receive information about our programs or updates. You can opt out at any time at no cost.


7. Cancellation Policy

To ensure fair access for all clients:

  • Please provide 48 hours’ notice for cancellations or reschedules.

  • Missed or late cancellations may incur the full session fee.


8. Refunds & Pre-Purchased Sessions

  • Refunds may be provided if your GP recommends discontinuing treatment.

  • Refunds are not available for changes of mind.

  • All refunds are at the discretion of Move 2 Thrive Clinic.
